EVENT POSTPONEMENT AND REFUND POLICY

3.1 Participant acknowledges that Total Sport reserves the right to:

(a) change the format of this event (and/or route of the Event) where it may become necessary or desirable to do so due to circumstances beyond the control of Total Sport, and if that occurs, Participant consents to the changes and agrees that each and every one of the Event rules, terms and conditions will apply to that changed Event; and

(b) postpone or cancel the Event whether due to poor weather, natural disaster, pandemic outbreak, any Force Majeure Event, or for any other reason beyond Total Sport's control. If the Event is cancelled (or postponed and Participant cannot make the postponement date), Participant acknowledges and accepts that Participant's entry fee is non-refundable, however, Credit will be given in accordance with clause 3.4.

3.2 Total Sport will make reasonable endeavours to postpone the Event rather than cancel.

3.3 If Total Sport cannot postpone the Event (or if the Event has been postponed once before already and the postponed Event cannot go ahead) the Event will be cancelled and a Credit will be issued.

3.4 Where the Event is cancelled in accordance with clause 3.1(b) Participant acknowledges that the amount of Credit given will depend on the amount of lead time between the circumstances rendering the Event cancelled (i.e. government lockdown announcement or weather event) and the Event date and:

(a) where there is more than 2 weeks’ notice, 100% Credit will be given; and

(b) where there is 2 weeks’ notice or less, 50% Credit will be given.

3.5 If Participant is sick or injured and cannot participate in the Event, they may transfer the value of the Entry Fee to any Total Sport event within the following 12 months, minus a $20 administration fee which Participant acknowledges there is a reasonable amount for the administrative dealings involved with changing Participant's Event entry. Participant must inform Total Sport no later than 48 hours before the Event in order to be eligible for this Credit.

CHANGING DISTANCE

You can change distances prior to online registrations closing. This is possible through your online registration, click to amend through your confirmation email. If you can’t locate your registration confirmation email registrations@totalsport.co.nz. Note: There are no partial refunds or event credits if downgrading.

COVID-19 TOTAL SPORT EVENT POLICY

For Total Sport events to happen within the new COVID-19 Protection framework (traffic light system) we must require the use of vaccine certificates (for anyone over the age of 12 years old). A ‘My Vaccine Pass’ can be obtained for anyone to prove they are fully vaccinated (or medically exempt) and will need to be scanned as you enter the event. Covid Affected events 

If we are in Green or Orange settings in the region the event is located, we are all go under the new COVID-19 Protection framework. Should the region that our event is located be in the Red setting, or any form of lockdown, we cannot put the event on. In which case: 

·        If we can postpone the event, we will! 

·        If we cannot postpone the event (or if it has been postponed once before already) the event will be cancelled and an event credit (to do any Total Sport event in the next 12 months, up to and including this event next year) will be issued. 

If the event is postponed and you can’t make the new event date, your options are 1) event credit or 2) virtual option + event credit.  

1.     Event credit – credit given will depend on the amount of lead time we have between any government announcement that prevents the event from going ahead and the original event date: 

·        Greater than 2 weeks’ notice – 100% event credit 

·        Less than 2 weeks’ notice – 50% event credit 

2.     Virtual option (+ event credit*) – credit given will depend on the amount of lead time we have between any government announcement that prevents the event from going ahead and the original event date: 

·        Greater than 2 weeks’ notice – Virtual option + 50% event credit 

·        Less than 2 weeks’ notice – Virtual option 

If the event has to be cancelled the amount of credit given will depend on the amount of lead time we have between any government announcement that prevents the event from going ahead, and the original event date: 

·        Greater than 2 weeks’ notice – 100% event credit given to all entries 

·        Less than 2 weeks’ notice – 50% event credit given to all entries 

Note: If an event must be cancelled, we will not offer a virtual event to replace it. We believe a full virtual event is too different an offering from a normal TS event experience and in no way makes for a satisfactory replacement – for anyone! This is the reason why we have decided to offer a virtual option for anyone who can’t make a postponement date (so they don't miss out entirely!) – but not as a full event replacement. 

Trust us when we say we love putting on these events almost as much as you all love doing them, so we will always try our very hardest to deliver them. If this experience has taught us anything, it’s how much our events mean to people, and we take that responsibility very seriously.
